With the approval of the Program Director, Chair of the Department of Medicine and the Designated Institutional Official, certain limited moonlighting activities may be allowable for upper level fellows not on clinical rotations. Moonlighting is limited to 4 nights per month and may not be on the night before clinic. All moonlighting hours count toward the 80 hr per week limit. These activities must be approved in advance via the electronic process in Medhub which requires the approval of the Program Director, Department Chair, and Designate Institutional Official for GME. The Division has adopted the Moonlighting policy of Duke Hospital.

Here is the step to step guide that a fellow can follow to initiate a moonlighting form (please note – those on J1 visas cannot moonlight and will not see the form on their home page).
- From the home page, the fellow will need to scroll down to the bottom of their page until they see the “Request Forms” menu on the left side of the page:
- Click on the TSMA/Moonlighting Request Forms link
- Then click on the Submit New TSMA Request form button at the bottom:
- From here,you will need to populate the form by selecting a location from the drop down list, a description of the activity from the drop down list (driven by the location selected), enter a start date and an end date (It is suggested to enter 7/1/2024 – 6/30/2025 to cover you for the rest of the academic year), maximum weekly hours you anticipate to moonlight (up to 28). You will then need to select whether the request will cause you to exceed 80 hours or if it will be within their allotted 80 hour per week. Finally, you will need to check the box under “This activity combined with my training “ and then enter their initials and the date:
- You will then hit the submit button. The form then goes to the chair for review. If the chair approves, it then moves to the PD for review. If the PD approves it then moves to the final stage of approval which is GME. Once GME approves they will have the ability to moonlight and have the correct category of internal moonlighting to select when logging your work hours. This process can take up to 4 weeks to approve.
