Guidelines for Presenters and Session Chairs

Registration Requirement

You must be registered for the meeting in order to present. However, you may submit an abstract before registering.  Please make sure the email address attached to your abstract/talk matches the one used for your registration.

Oral Presentations

Presentations will run on a Windows-based computer and have to be compatible with PowerPoint or in PDF format. The official language of the conference is English.   The time slots allocated for the talks include presentation, discussions and change of speaker. Therefore, speakers should prepare their talks with a duration such to allow for questions from the audience. The presentation time slots are as follows:

  • invited talks – time limit includes 5 minutes for discussion and speaker change;
  • contributed talks – time limit includes 3 minutes for discussion and speaker change;

Speakers will be able to upload their presentations on the conference computer from USB devices prior to sessions. The file names should contain the session and presentation identifiers (according to the conference program) followed by the surname of the presenter, e.g. XX.xx-Surname.ppt or XX.xx-Surname.pdf.

For the morning sessions the presentation files should be uploaded on the conference computer the day before. For the afternoon sessions, the presentation files can be uploaded the same day before 13:30.

Alternatively, authors may send in advance their presentations by email to the address np2023email@duke.edu.

Poster Presentations

  • Posters should not exceed 120 cm wide by 120 cm high and must be written in English.
  • Posters can be mounted during Monday (September 11, 2023) evening starting at 20:00 and will remain on display throughout the conference. Each presenting author is responsible for the poster for the duration of the conference and must remove it by the conclusion of the conference on September 15, 2023.
  • Each abstract selected for poster presentation will be assigned a number indicating the poster board where it is to be mounted.
  • Authors have to present their posters during the poster session scheduled on Tuesday, September 12, 2023.
  • A Poster Selection Committee will evaluate the posters and recommend the top–ranked ones for awards. The poster awards will be presented during the conference banquet on Thursday, September 14th 2023.

Session Chairs

  • Chairs and speakers are asked to arrive at the meeting room about 20 minutes prior to the start of the session to familiarize themselves with the controls for the computer, microphones, AV equipment, and timer. An AV technician will be on hand to assist you if necessary.
  • Start the session on time.
  • Briefly introduce yourself and the session.
  • To foster an inclusive environment, remind all presenters and attendees to adhere to the Conference Code of Conduct.
  • Explain the session timing to the audience prior to the start of the session.
  • Introduce each speaker and start the timer.
  • It is important to adhere to the time allocated for each talk listed in the schedule.
