Subcontractor/Consortium
Duke University may elect to allocate a portion of the scope of work to another organization (subrecipient) to complete. During the proposal development phase, Duke University will work with the identified collaborator to set expectations and gather documents required by both Duke and the sponsor to denote a formal relationship. At the time of award, a subagreement is generated to obligate funding support as outlined in the proposed scope of work. (Office of Research Administration – Outgoing Agreements page)
Your expectation will often be followed by the subcontractor. Prepare a defined scope of work (tied to specific aims) and an estimated budget.
Work with your grants administrator! They will gather documentation on your behalf!
You will need the following from a subcontractor for institutional processing:
- PHS 398 Facepage, signed by their institutional authority
- FCOI – Subcontractor form
- SF424 Budget form or similar budget template
- PHS 398 checklist
- Statement of Work
- Biosketches
- Letters of Support
- Budget Justification
- Facilities and Resources Page
Budget Justification
The subcontractor will have their own justification of costs. However, a subcontract justification should be within your Duke budget justification.
Justification language should include:
- A summary of the scope of work
- Amount of total costs requested per year
- Justification of key personnel affiliated with the institution
