Why This Matters

Submitting applications isn’t just about a resume. How you apply tells employers how you communicate, pay attention to detail, and align with the role. A targeted, authentic application increases your chances of being noticed by both humans and algorithms.

Myth: It’s a numbers game. 

Indeed data shows that people with the highest number of applications are 39% less likely to receive a positive response from employers.

Use this step-by-step list to confidently prepare and submit an application:

  1. Read the full position description: Look beyond the title. Highlight keywords, responsibilities, values and tone. This sets the stage for your customized materials.
  2. Prepare materials: Companies may ask for different materials depending on role, field, and hiring stage. Know what is required for roles and organizations you target.
  3. Align for the specific role and organization:
  • Use language, content, and examples relevant to the position description
  • Prioritize impact in your resume and clarity in all application materials
  • Share relevant experience that directly connects to the role (JobScan, 2025)
  1. Understand ATS vs. human review:
  • Use standard formats (always apply with PDFs unless otherwise requested) prioritizing formatting consistency to move past the ATS to human reviews
  • Avoid graphics, columns, or unusual fonts that confuse ATS
  • Be clear and structured for skimming (for humans!).  Most in the US will read left to right and skim beginning sentences or section headers to direct further attention
  1. Be yourself while being strategic:
  • Create a positive impression by identifying and including relevant BASK
  • Don’t overstate qualifications—highlight transferable skills
  • Use AI tools to generate drafts, but always personalize for your own voice
  1. Submit with care:
  • Review all materials for typos and consistency
  • Follow employer instructions (file names, submission order, forms)
  1. Set Clear Targets: Define what you’re seeking in a role to guide your application process effectively. An “open to anything” mentality doesn’t help you or the employer.
  2. Prioritize Quality Over Quantity: Customize applications to the specific role and organization to demonstrate genuine interest and your ability to contribute (Forbes, 2025). 
  3. Utilize Tracking Tools: Maintain a spreadsheet (example, The Muse, 2025) or use job application trackers to monitor submissions and follow-ups. Note which materials you submitted with applications.
  4. Engage with AI wisely.Consider AI agents and other tools as brainstorming partners but maintain your voice.
  5. Avoid panic-applying: Submitting applications out of frustration or panic can be counterproductive. A 2024 survey by Resume Genius found that 72% of job seekers reported negative mental health effects from chaotic application efforts, including ghosting and burnout.
  6. Follow-up: Follow any directions provided in your submission confirmation. If no directions, reach out 7-10 days after submitting application. Use LinkedIn or email contact keeping message brief with concise statement of your interest.
