Updates to Streamline Proposal Submissions

Dear Investigators,

I am writing to share some good news, quick reminders, and recent updates meant to streamline the proposal process so we can keep the final review and submission window as smooth as possible.

Intent to Submit – the first step that initiates proposal support

Intent to Submit (I2S) is the process to inform me that you plan to submit a proposal. Once we receive that, we will be able to plan support, surface any potential issues early, and connect you with the right resources as early as possible.

What this means for you: The sooner we know about your plan to submit, the better we will be able to support a smooth submission. Please declare your intent to submit as soon as you intend to apply (at least 20 business days in advance). The more advanced notice we have the better – especially for larger or more complex submissions where at least 30 business days is especially helpful and very much appreciated.

Streamlined Proposal Routing – saves up to 2 days in routing

As communicated in the Feb 17 Research Insider, internal proposal routing will no longer include an approval stop for collaborating units. Instead, collaborating units will receive a notification (so everyone stays aware and informed), and routing can continue without waiting for additional approvals.

What this means for you: Multi-unit collaborative proposals should experience fewer routing delays and can reach institutional review up to two business days sooner.

Transparent Proposal Review –

ORA is working on updates to the Proposal Review process with the goal of increasing transparency.  These updates are pending and will be communicated as they become available.

Expedited Review – shorter institutional review timeline

For submissions that meet defined eligibility criteria, an Expedited Review option may be available. When eligible, the internal deadline for institutional review is 3 business days (instead of 5) before the sponsor due date.

What this means for you: If your proposal qualifies for Expedited Review, the internal review deadline timeline is reduced (3 business days instead of 5). Once your intent to submit is received, your grant manager will review the details submitted and let you know if the 3-day timeline applies.

Our primary goal is to provide the best possible support for your proposal so that it can be submitted timely with the strongest chance of being funded. We hope these updates improve your proposal submission experience by reducing delays and making the path to submission more efficient and transparent.   Many Thanks.
