Process for Hiring New Research Staff

Need assistance with identifying and hiring research staff? Both she and Mark Bettger, GIM Division Administrator, will assist you with the process and required paperwork.

GIM Hiring Process for Research Staff

  1. Identify the type of research position(s) needed based on the responsibilities you need for the person(s) to perform. Examples of responsibilities can be found in the positions below:

Research Staff:
Clinical Research Specialist
Clinical Research Specialist, Sr
Clinical Research Coordinator
Clinical Research Coordinator, Sr
Regulatory Coordinator
Regulatory Coordinator, Sr
Research Program Leader
Research Program Leader, Sr.

Nursing Staff (Must hold a Bachelors in Nursing):Clinical Research Nurse Coordinator
Clinical Research Nurse Coordinator, Sr

  1. The hiring manager should contact Elaine Dowdy, Research Practice Manager (RPM), Department of Medicine CRU. DOM CRU staff will work with the hiring manager to request the new hire using the Clinical Research Professional Working Group (CRPWG) “Title Picker” survey.
  2. DOM CRU staff will work directly with the hiring manager, or the person that best understands the job responsibilities for the position (if this is not the hiring manager then assign the best person to assist with this), in order to complete the online survey.
  3. Once the survey is submitted, the CRPWG committee will review and match with the best job classification, and will provide a title and job description with the job responsibilities reported.
  4. DOM CRU and DOM HR will receive the results within three business days (title and job description based on the information provided in the survey).
  5. DOM CRU will forward the job title, job code, and job description to the hiring manager.
  6. The hiring manager may need to edit the job description slightly for posting to ensure the character length does not exceed 7000 characters.
  7. In addition to the job description, DOM HR will require the following:
    1. Job Analysis Questionnaire (JAQ)
    2. Organizational chart for your division (request from Tara Strigo, Director of Research Programs/Mark Bettger, Division Administrator).
    3. If position is 100% grant funded: DOM VMAF form with PI’s name, division, phone number, date requested, position title, supporting justification for the position, funding source(s), and signature from Mark Bettger, Division Administrator.
    4. If position is not grant funded: SOM VMAF form with PI’s name, division, phone number, date requested, position title, supporting justification for the position, funding source(s), and signature from Mark Bettger, Division Administrator.
    5. Email the job description, VMAF form, JAQ and Organizational chart to Mark Bettger, Division Administrator. He will send it to DOM HR.

 

Reclassification Process for Research Staff (not Tier Advancement)
(for both a filled position by an active employee and an unfilled position needing reclassification)

  • If the position is is currenty filled by an active employee: Email Mark Bettger, Division Administrator with your plans to reclassify the staff position. He will email DOM HR to alert.
  • If the current research staff position has been mapped with the Title Picker or via the mapping process within the past 2 years, and you want to request a review of the position or a different job code, please contact Elaine Dowdy, Research Practice Manager (RPM), Department of Medicine CRU, who will work with you to request the Clinical Research Professional Working Group (CRPWG) “Title Picker” reclassification survey.
  • DOM CRU staff will work directly with the hiring manager or the person that best understands the job responsibilities for the position (if this is not the hiring manager then assign the best person to assist with this), in order to complete the online survey.

Fill a Vacancy Process for Research Staff

  1. If the position is vacant and you would like to post for hire, please make sure the position has been reviewed using the Title Picker process in the last 2 years. If so, you can proceed to hire. If not, please proceed with the New Hire Process for Research Staff instructions above
