Uganda Weekly Updates

This is where you’ll be able to find weekly updates on our progress in designing and implementing the project in the community of Kaihura, Uganda.

Meeting Minutes: 3/2/14

– SEND EMAILS asking for donations! Eunice just raised over $4,000 by merely sending out emails.

  • Attach the brochure with the email

– Sign-up for studies and bring the cash to the meetings.

Spent almost an hour trying to figure out the equation for head flow

 

Meeting Minutes: 2/23/14

-Ram pump calculations, see document on google drive

– Fundraising – everyone expected to raise $300-500 from friends, family, relatives, studies etc.

– DEID shirts – $15 each, everyone needs to buy one for the trip

– irrelevant, but Elsie, Eunice and Mahkayla’s birthdays will be during the trip!

 

Meeting Minutes: 2/16/14

Beat Syracuse Fundraiser on Friday from 4:45-7.  Want everyone there- but also sign up for shifts to see who can be there.

We need 12 cans total (BRING CANS) – we will be making 2 pyramids – everyone will get a total of 2 clementines.

We have a few more prizes from the development office

We have around $1000+, we need to send out the fund code to people and ask for more donations

DEID Exec has come up with a project leader survey – Eunice will send that out later this week – Please fill it out, it would be of great help!

Meeting Minutes: 2/9/14

We raised over $600 on Jellybeans!!! Good work team!!!

Feedback:

BC tabling only effective if you know friends – try to primarily have upperclassmen table

Marketplace tabling very successful – but also best if there can be at least one freshman per shift

– don’t set $ amount on guess, “make a donation”

Meeting Minutes: 12/1/13

– Decided the Devine’s Event will be from 10:30PM to 2AM. – All DEID-Uganda members need to arrive by 10:15PM to set up – and need to stay for the whole event – let Eunice know if there’s a problem and something can be arranged.

 Everyone needs to make sure they bring their friends!!!

-Be prepared to talk to people and explain what our project is about, how it came about, why people should support our cause etc.

– Flyering – print out black and white copies of the flyer and put them in places; Eric responsible for Marketplace. Lindsay, Aibi, Elsie, Eric responsible for East Campus Dorms – own dorm and neighboring ones. See flyering responsibility spreadsheet on google drive.   Billy, Canshu responsible for Few/McClendon Tower areas. Eunice responsible for Physics, Hudson, nearby Dorms.

– Katie contact Brad, do the things stated last meeting, and send Eunice email that can be sent to whole DEID group and Dr. Schaad.

– Mahkayla bring the popcorn popper to the event

– Canshu  check on the lockbox

– Billy  buy candies

– Eunice bring Duke cups, badges, popcorn basket, $25 iTunes gift card

– The $100 apple gift card and other duke items will be used for another event in the spring – details will be figured out when we get back – currently thinking a one week raffle.

Meeting Minutes: 11/24/13

Devine’s is December 6, Friday after we return from Thanksgiving

  • We will have another meeting next Sunday

Flyers – Elsie send out the design – make sure it clearly states there is a $100 Apple gift card at stake, (and maybe duke stuff and popcorn popper)

  • We need everyone to start flyering after thanksgiving, freshman flyer east dorms, marketplace and west general areas – Eunice will create google doc sign up, Upperclassmen flyer west dorms and west general areas

Raffles – we will have three raffle baskets;

  • Movie night basket – popcorn popper (makes popcorn from kernels), a bag of kernels, two DVDs, pack of microwavable popcorn
  • Duke Swag basket – get stuff from development office on Monday, get 3 Duke shirts from Jen, 2 duke cups
  • $100 apple gift card

Raffle tickets – buy a roll (Eunice bought off amazon during the meeting), Prices:

  • 1 for $1
  • 6 for $5
  • 15 for $10

We discussed ideas of people having to buy a certain number of raffles in order to win the $100 apple gift card, but at the end decided that its value will automatically get people to buy more/ we can convince people that they will have a greater chance of winning if they buy more tickets.

Logistics: EVERYONE needs to be at the event by 9:45pm, we will have a main raffle table – one person at the table and everyone else mingling to sell raffles and get donations

Bring loose change if you have some, and bring a fanny pack or waist bag if you have one

Things that need to be bought (Eunice will buy these):

  • Baskets
  • Two cheap DVD’s – gooney’s and …
  • Candies?
  • Puffy stuff
  • Popcorn Kernels, microwavable popcorn

Grants:

  • one promising grant, need to find out how to apply to it – Mahkayla will check
  • US development grant – eligible for community based organizations – ask Dr. Schaad if Bringing hope to the Family can apply to that

Fundraising:

  • Fund Codes still not ready – will notify everyone when we get it
  • Write letters and mail them to people – if you international and will not be going back for winter break, type up the letter and have your parents/family send out letters – can draft the letter/ use funding letter we already have – Fundcode will also need to be included.

Katie – contact Brad, tell him about gift card and raffles, ask about change, music, etc; Revive fb event when we get back from thanksgiving, make raffle poster for use at Devine’s, write up a short status everyone can copy and paste

Canshu – Ask about Duke Flex reader from Duke Card Office, ask for lock box from UCAE

Meeting Minutes: 11/17/13

FUNDRAISER AT PANDA EXPRESS TOMORROW!!!!!! 12pm-9pm

Updates on fundraising events.

  • No athletic fundraising.

Learn how to hold a fundraising presentation!

  • Mock fundraising presentation by Jen, co-president of DEID.

Create a fundraising presentation next week.

Take pictures of raffle items and put it on google doc.

 

Meeting Minutes: 11/10/13

When using the Letter of Intention, change the first and the last paragraph. Specifically, change your personal information in the first paragraph and the “We hope that you will consider partnering with us by making a donation” sentence.

Raffling ideas at Devine’s : Ask whether Devine’s has dartboard.
Look for items to raffle off!!! Everyone look up free stuff to donate! (t-shirts, cups, posters and etc)

Jen, co-president of DEID will be at our next meeting to give us a demo of the funding presentation.

Things to do:

  • Elsie will make fliers to Devine’s.
  • Aibi will make a facebook event for Panda Express.

Updates on fundraising places:

  • Letter of Intent required for most places
  • December 6th – Possible date for Devine’s Fundraising.
  • For Devine’s night, everyone bring at least 10 people!
  • Panda Express: hand out fliers.
  • Set up a spreadsheet for Panda Express flier hand-out times

Meeting Minutes: 10/6/13

Elevation Data:
Used GIS to analyze elevation data of Kaihura.

Focus on Funding:
We divided into two groups. Some of us discussed various fundraising ideas while others began summarizing letters from last year that we could edit and use for this year.
1. Brainstorm funding ideas
a. Selling food
b. Volleyball/Basketball Tournament
c. Red Mango
d. Gift card and Free Stuff- Raffle
2. Summarize documents on Google Doc.
a. Come up with specific details that we will need for our presentation
b. Start remaking those documents! In other words, begin editing letters to send to businesses, making them more relevant to this year’s project.
3. Research businesses that will be willing to donate
a. Elsie and Aibi will contact the food places in Ninth Street, Brian Center and etc.
4. Check out DukeEngage Application, which is due in a month. While it is important to write a good application, DEID members should not worry too much if they show up and contribute as much as they can.
